Get to Inbox Zero by Archiving, Not Deleting

Serves Anyone with a four-digit unread count and a vague fear something important is in there

Clear the inbox to zero by labeling and archiving everything, surfacing only the emails that still need a reply or action, with a nightly sweep to keep it there.

You will need

Method

  1. Set the ground rules first: archive with a label, never delete, never mark read, never reply as you. Everything stays one search away.

  2. Ask for the sweep, then a receipt: how many were archived, by type (notifications, newsletters, people, receipts, promos), and a short list of open obligations so nothing real gets buried.

  3. Turn the patterns into standing rules: receipts and shipping skip the inbox but keep their label; newsletters skip it too and feed a weekly digest.

  4. Draw the line on anything you can't undo. Unsubscribing and deleting are a different class from archiving, so the assistant proposes them and waits for a yes.

  5. Schedule a nightly sweep as the backstop, so zero is where the inbox lives, not a weekend project.
